Bill from the day book

For staff

This page is for front-desk staff and people who manage clinic settings.

What it does

Quick Bill turns one ticked appointment on the practice day into an invoice, and takes payment or a claim, without opening the chart.

When to use it

Use it at the front desk when the patient is standing there and the visit was simple.

Step by step

  1. On the practice day, tick one appointment and press Bill. A short invoice opens.

  2. Search for a schedule item to add a line. The search shows the item's fee.

  3. Press Add line. Use Previous and Next to move between lines with the keyboard. A line can be updated or removed before the invoice is raised.

  4. Choose private or bulk bill for the invoice.

  5. Press Pay to open New Payment — cash, EFTPOS, card and the other methods. OK issues the invoice. If Claim is ticked, the claim window follows. All three are yours to press.

Also on this screen:

  • Invoice lines can carry Medicare items, a private fee, a note, and the bulk-bill or private choice.
  • Print receipt prints the quick invoice.
  • Help explains Pay, OK and Claim in one sentence each.
  • Lodge Patient Claim is the claim window after a private invoice. The Claim button talks to Tyro.

What Agent D can do

  • Read the practice's billing workflow items.
  • Look up the price of a line and freeze it.
  • Raise the draft invoice for the attendance — only after your Confirm.
  • Agent D cannot issue, finalise or lodge. Moving an invoice from draft to finalised to issued is human-only.

Safety (what needs your Confirm)

  • Pay, OK and Claim are yours. OK issues the invoice, so check the lines first.
  • Nothing is claimed or charged until you press. Agent D stops at the draft.

Common questions

Why is Bill greyed out? Quick Bill needs exactly one ticked attendance. Tick one row on the practice day.

What does OK do? It issues the invoice. If Claim is ticked, the Lodge Patient Claim window opens next.

Can I take part payment? Record payment takes what the patient paid; the owing total on the chart shows the rest.
